Club Resources

There are many benefits that come with being an officially recognized ASUN club.  The information below explains how to access these benefits.


ASUN Accounting

Office Hours - Fall/Spring Semester

Monday- Friday 8am-8pm

Saturday 10am-6pm

Club Accounts (Checking, Savings, Credit Cards, etc)

University policy states that all revenues generated by the University and all expenditures for goods and services must be recorded and accounted for within the financial accounting system of the institution. For student clubs and organizations, this means that all moneys collected or raised by the club, including dues, collections for purchases of uniforms or t-shirts, ticket sales, and all student contributions towards events, must be deposited into the ASUN club account, and the funds generated spent from this club account. The use of University funds or assets for any personal, unlawful, or improper purpose is prohibited.

Once your club is recognized, your account is active after making a deposit at the ASUN Accounting Office. No off campus checking, saving or credit card accounts can be created by a club member or an advisor. Board of Regents' policy on “Establishment of Checking Accounts” (Board of Regent's Handbook, Title 4, Chapter 10, Section 24, page 58) strictly prohibits off-campus bank accounts. If your club has an account off campus, please close it immediately and deposit the money into an ASUN club account.

Contracts, Agreements, and Grants

All contracts, agreements and grants must FIRST go to the ASUN/Student Activities Accounting Office so the appropriate university personnel’s signature can be on the contact, agreement or grant. The authority is invested only in the UNR Controller. Any and all contracts, agreements, grants without appropriate prior approval are null and void and do not represent an obligation on the part of the university or ASUN/Student Activities to make payment. This includes all contracts, agreements or grants paid out of all university accounts including student club accounts, funds granted to clubs by ASUN, etc. Please contact the office at 784-6589 or studentactivities@unr.edu before you move forward with your activity.

Club Mail Box

Club and organization boxes are located in the ASUN space in the Student Union. These boxes are an excellent way to find out what is happening on campus, to communicate with other clubs and organizations, and to publicize specific events or fundraisers your club/organization might be having. Please check these boxes regularly to find out important information, updates, or current events.

Incoming Mail

Any club that needs to receive mail can have it sent to:

OutGoing Mail

Any club mail that needs to be handled can be taken to the ASUN Accounting Office. The staff will make sure the mail is charged to your club account.

Copy Machine

ASUN provides a copy machine for club use in the student organization workroom. The machine requires a billing code to be entered before the machine will operate. You may obtain a billing code for your organization from the ASUN Accounting office after your club has been officially recognized. Only officers listed on the Signature Card can request the copy code. Remember that any copies made with that code will be directly deducted from your club account, so keep the code secret.

If members of recognized student organizations travel to conferences, competitions or group trips out of Reno they must fill out University of Nevada, Reno Travel paperwork. A Travel Request Form must be submitted 15 days before traveling, and a Travel Claim must be returned 5 days after traveling.  This paperwork must be turned into the ASUN Accounting Office.

For anyone participating in travel, the forms must be filled out and returned to the ASUN Accounting Office at least 15 working days prior to departure. All forms must be typed. Failure to comply will result in travel members not being reimbursed for their expenditures.

After Traveling

Team Travel Claim (Part 1) (Part 2) (Guide)

A Team Travel Claim is used if one person from the group is expecting to be reimbursed for all travel expenses.

Individual Travel Claim (PDF) (Guide)

An Individual Travel Claim is used if more than one person who traveled is expecting to be reimbursed.

Be sure on either form that itemized receipts are attached for every expense expecting to be reimbursed.

Personal/Privately Owned Vehicles

The use of private vehicles is strongly discouraged. If private vehicles are used you must inform your personal insurance company to make sure the vehicle is properly covered, see NSHE policy below:

The NSHE does not have insurance coverage on the personal vehicle of an employee. Persons using personal vehicles for official business must obtain necessary insurance from their insurance agent. Students may not be transported in private vehicles. The use of personal vehicles is reimbursed in accordance with state regulations. An employee shall not use a personal vehicle for transportation of students on official trips without informing his/her insurance company and to verify that the vehicle is properly covered. In the event of an accident, the personal vehicle insurance is primary.  University of Nevada, Reno policy extends to off campus trips however distant or for whatever length of time. State, country, other university and city regulations where the conference, competitions, or group travels to must be adhered to by the student.

Room Reservation

Active ASUN recognized clubs or organizations may use university meeting facilities for free or a reduced charge. Depending on the size of your group, any number of rooms are available in a number of locations on a first come, first serve basis for meetings and club events. Click here to begin your reservation.
